OUR COMMITMENT

OPEQ-Ordinateurs pour les écoles du Québec (OPEQ, “we”, “us”, or “our”) is committed to protecting the privacy of the personal information you provide or that we collect when you visit our website or interact with us. This Privacy Policy (the “Policy”) is intended to inform you about the personal information we collect and how that information is used, disclosed, and stored.

This Policy is designed to comply with Quebec’s Act respecting the protection of personal information in the private sector (Law 25) as well as other applicable privacy legislation.

1. CATEGORIES OF PERSONAL INFORMATION

In this Policy, “personal information” means any information about an individual that allows them to be identified, directly or indirectly. Depending on the nature of your interaction with us, this information may include, without limitation:

  • Contact details: first name, last name, mailing address, email address, and phone number.
  • Interactions: when you communicate with us by email, web form, chat, or by subscribing to our newsletter, we record your interaction and, where applicable, any associated attachments.
  • Job applications: if you apply for a position at OPEQ, we collect the information contained in your résumé, cover letter, and professional references.
  • Donation and equipment requests: information provided in connection with your equipment donation requests or requests for computer equipment.
  • Browsing: when you visit our website, we automatically collect certain technical data through cookies, including your IP address, browser language, date and time of your visits, and pages viewed.

We do not knowingly collect information from individuals under the age of 14. If you are the parent or guardian of a minor and believe they have provided us with personal information, please contact us immediately.

2. COLLECTION OF PERSONAL INFORMATION

We collect your personal information directly from you when you visit our website, fill out a form, request equipment, make a donation, apply for a position, or interact with us in any other way.

3. USE OF PERSONAL INFORMATION

The personal information we collect is used only for the purposes indicated at the time of collection, or for any other use permitted or required by applicable law, including to respond to your information, donation, or equipment requests, process your orders and material requests, send you our newsletter if you have consented, process your job applications, improve your experience on our website, conduct analyses aimed at improving our services, and meet our legal and regulatory obligations.

We never use your information for purposes incompatible with those for which it was collected, except with your consent or as required by law.

4. ADVERTISING AND COOKIES

Our website uses cookies for analytical and advertising purposes, including for remarketing campaigns on Google and Facebook. These technologies may allow you to receive relevant content when you visit other websites.

You may opt out of targeted advertising by accessing the privacy settings of the relevant platforms or by visiting the Digital Advertising Alliance opt-out portal at optout.aboutads.info.

Please note that we do not change our data collection practices when we detect a “Do Not Track” signal from your browser.

5. DISCLOSURE OF PERSONAL INFORMATION

We are committed to not disclosing your personal information for purposes other than those for which it was collected, unless you consent or applicable law permits or requires it.

We may disclose your personal information to the following third parties: service providers engaged by OPEQ to support our operations, such as data hosting, email processing, or website management — these third parties are not authorized to use your information for their own purposes; government or regulatory authorities, in response to a court order or any other legally valid request; and any organization involved in the prevention or detection of fraud or unlawful activity.

In all cases where a third party processes your information, a confidentiality agreement is entered into with OPEQ.

6. RETENTION OF INFORMATION

We retain your personal information for as long as necessary to fulfill the purposes for which it was collected, subject to applicable legal and professional requirements. As a general guideline, information related to a transaction or donation request is retained for seven years, unsuccessful job applications are retained for six months and then securely destroyed, and browsing data is retained for a maximum of 13 months.

7. CONSENT

By using our website or providing us with your personal information, you consent to this Policy and to the collection, use, disclosure, and storage of your personal information in accordance with it.

Unless otherwise provided by law, you may withdraw your consent at any time by contacting us at the coordinates provided in section 10. In some cases, withdrawing your consent may affect the services available to you.

8. SECURITY MEASURES

OPEQ applies physical, organizational, contractual, and technological security measures to protect your information against unauthorized access, disclosure, modification, loss, or destruction. These measures are reviewed regularly. Only authorized individuals whose functions require it have access to your personal information. Any supplier with access to your information is held to the same security requirements.

Despite these measures, no internet transmission or electronic storage method is entirely secure. If you have reason to believe your information has been compromised, please contact our Privacy Officer immediately at the coordinates provided in section 11.

9. LINKS TO THIRD-PARTY SITES

Our website may contain links to third-party sites. We have no control over the content or privacy practices of these sites. Any personal information you submit through these sites is governed by their own privacy policies. We encourage you to review them before providing your information.

10. YOUR RIGHTS

In accordance with Law 25 and other applicable legislation, you have the following rights with respect to your personal information held by OPEQ.

Access and portability: you may request to be informed of the existence, use, and disclosure of your information, access it, and request that it be provided to you in a structured, commonly used technological format, or transferred to another organization.

Rectification: you may request the correction of inaccurate, incomplete, or outdated information.

Withdrawal of consent: you may withdraw your consent to the use of your information for communication or marketing purposes at any time, subject to applicable legal restrictions.

De-indexation: you may request that we cease disseminating your personal information and that any link attached to your name giving access to that information be de-indexed, if such dissemination contravenes the law or a court order.

You also have the right to file a complaint with the Commission d’accès à l’information du Québec, subject to the conditions set out by law.

To exercise any of these rights, submit a written request to our Privacy Officer. We will respond within thirty days of receiving your request. We may ask you to verify your identity before responding.

We reserve the right to modify this Policy at any time. Any changes will take effect upon publication on our website. By continuing to interact with us after a modified version is published, you accept the changes made. We encourage you to review this Policy regularly.
